The Staffing Coordinator is here to support our nursing and operations teams. This role is responsible for coordinating nurse staffing assignments, managing restaffing requests, and ensuring timely and accurate entry of patient referral and scheduling data into our system. The ideal candidate will thrive in a fast-paced environment, maintain strong communication with internal teams and pharmacy partners, and be passionate about supporting patient care logistics.
ESSENTIAL FUNCTIONS:
- Call, text, or email to nurses for availability.
- Update pharmacies on staffing status daily.
- Performing Welcome Calls to patients and uploading the file into Nurse Plexus.
- Confirm start-of-care (SOC) dates with nurses, patients, and pharmacies.
- Handle scheduling changes and travel coordination.
- Confirming the first visit with the RN, patient, and ensure RN is aware to contact patient within 24 hours.

Nurse Manager Liaison

DESCRIPTION:
The Nurse Manager Liaison is a licensed professional who assumes responsibility and authority for the management and administration and coordination of the RN Independent Contractors and Pharmacies in accordance with the company standards and policies and state, federal, and accrediting body guidelines.
Nursing Manager assists in providing onboarding of new nurses, constant communication with new hires to ensure they are set up for success with the company, communicates frequently with assigned nurses, liaises between pharmacies and nurses as to pharmacy policies and procedures and performs case management duties for patients in assigned regions.
ESSENTIAL FUNCTIONS:

- The Nurse Manager Liaison will conduct an introductory conference with each New Hire RN Independent Contractor. The NML will discuss company points of contact, case reporting expectations, scheduling of availability, identify areas of skills reinforcement, documentation and the timeline for document submission and error correction process, specific pharmacy requirements, change of condition/adverse event reporting to Pharmacy, MD, and NML.
- If extensive deficit noted, Nurse Educators will be notified to arrange for further education.
- The Nurse Manager Liaison will maintain contact with new hires on a bi-weekly basis and as needed, assist them with the process of obtaining new patients by collaborating with the intake team to understand any barriers they may face.
- The NML will counsel nurses, as requested, to reinforce their contractual obligations to provide skilled services according to MD orders, Pharmacy Policies, and documentation requirements. If a contractor requires continual counseling, the issues will be reported to the National Director of Nursing.
- Each Nurse Manager Liaison will manage specific regions, divided into teams according to the structure of Intake. The NML is expected to communicate with nurses, pharmacies, and administrative staff through phone calls, text messages, or emails as necessary.
- The Nurse Manager Liaison will be the point of contact for pharmacies to obtain visit schedules, report issues, complaints, new or changed orders, authorizations, POT Approval/Faxing and other requests by pharmacy.
- The Nurse Manager Liaison will perform Case Management of patients in assigned region as follows:
- Assessing that the ongoing needs and goals of patients and their families are met.
- Approving and faxing the Initial Plan of Treatments to the MD for Start of Care and Recertification periods, (when available in NP) as applicable by state law and pharmacy requirements.
- Advocating appropriate care and infusion tolerance with pharmacy for patients and their families.
- Ensuring that both initial and updated orders or authorizations are present in-patient charts, verifying their accuracy related to infusion type, post-infusion monitoring, and visit counts. The NML will request necessary information from the pharmacy and obtain updated authorizations if there are changes in frequency or orders (e.g., infusion duration, number of visits).
- Managing the annual competency checklist and performance reviews for assigned nurses.
- If needed, the Nurse Manager Liaison will be available after hours as
requested.
- The Nurse Manager Liaison will always represent themselves and RNE in a professional and ethical manner. They will interpret nursing standards, policies, and procedures while ensuring compliance with regulatory organizations, and providing guidance and support to nursing staff regarding appropriate documentation to maintain compliance with safety regulations.
- The NML will complete follow-ups on patient compliments, complaints, incidents, adverse drug reactions, and document these on the appropriate forms. They will also participate in the Performance Improvement Program activities as necessary.
- The NML will hold patient care conferences, in-services, and departmental meetings with assigned nurses as needed.

The Specialist will assist in communicating with the pharmacy coordinators, RNE field nurses, patients, and multiple departments of RNE daily. POSITION SUMMARY:
The Plan of Treatment (POT) Assistant is responsible for supporting the timely and accurate processing, tracking, and coordination of patient Plans of Treatment (POTs), Recertifications, Start of Care (SOC) orders, and physician-signed documentation in accordance with ACHC standards and applicable state and federal regulations. The POT Assistant ensures that physician orders are obtained, logged, and appropriately routed to clinical and administrative departments to support patient care and compliance.
SCOPE:
This position supports all clinical operations across RN Enterprises Infusion Services, Inc., including services rendered through contracted staff and affiliate entities.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Documentation Management

The Medical Records Authorization Coordinator serves as a vital link between healthcare providers, pharmacies, insurance companies, and patients by coordinating medical record management and ensuring timely and accurate authorizations for nursing and infusion services. This position involves the daily review, request, tracking, and documentation of nursing authorizations, maintaining organized records in SharePoint and Nurse Plexus, and facilitating efficient communication with pharmacy partners and insurance providers. The role ensures regulatory compliance, supports patient access to care, and strengthens operational workflows within the Health Information Management team.
ESSENTIAL FUNCTIONS:
- Review and process requests for medical records and prior authorizations.
- Request new and recurring nursing authorizations from pharmacies daily.
- Collaborate with nursing staff and providers to obtain required clinical documentation for insurance approvals.
- Submit and track authorization requests through payer portals, phone, or fax.
- Communicate professionally and consistently with pharmacy partners to ensure timely processing.

DESCRIPTION:
The Medical Data Administrative Specialist role provides essential support to the Health Information Management Department by facilitating the timely and accurate processing of infusion-related documentation. The position works closely with the Infusion Note Team to receive, organize, and lightly correct clinical records, ensuring Start of Care (SOC) documents are completed and uploaded within the 24 to 72-hour timeframe. The role serves as a liaison between the documentation team, nurses, and patients to uphold compliance and quality standards.
ESSENTIAL FUNCTIONS:
Documentation Management & Processing:
- Accurately input and update patient information, infusion notes, and treatment data into Nurse Plexus and SharePoint platforms.
- Organize, move, and lightly correct notes to meet compliance and workflow standards.
- Receive and verify Start of Care (SOC) documents for completeness and upload in a timely manner.
- Save SOCs from PandaDocs, mark as completed in Nurse Plexus, and update disaster status as indicated.
- Upload SOCs to SharePoint and move MR folders from pending to active if not already done.

Communication & Follow-Up:

Clinical Nurse POT Coordinator is responsible for creating and managing Plan of Treatment (POTs) daily as new patients are admitted. This role requires thorough review of submitted POTs, verification of orders and medications, timely faxing to the appropriate physician, and ensuring all recertifications are completed ahead of expiry. The position demands clinical oversight to maintain compliance and high standards of patient care.
ESSENTIAL FUNCTIONS:
- Review POTs submitted by patients’ nurses upon admission.
- Verify all orders and medications carefully before submission.
- Fax POTs to the correct physician’s office within 24 to 72 hours of receipt.
- Manage all POT recertifications, completing them in a timely manner—up to 2 weeks before expiration.
- Ensure clinical accuracy and compliance throughout the POT creation and recertification process.
- Maintain detailed records and documentation for all POT activities.
- Follow up promptly with physicians’ offices to confirm receipt and signing of POTs.
- Collaborate closely with the Health Information Management team and other departments to ensure smooth workflow.
- Demonstrate strong time management, attention to detail, and teamwork skills.
REQUIRED SKILL & QUALIFICATIONS:
- Licensed clinical nurse (RN or equivalent)

DESCRIPTION:
The Invoicing & Documentation Specialist is responsible for preparing and submitting accurate invoices to pharmacies, ensuring all billing documentation is complete, organized, and properly uploaded to designated platforms. This role plays a dual function in both billing and documentation review, supporting the accuracy and efficiency of reimbursement and compliance processes. The position involves close coordination with pharmacy partners, nursing teams, and internal departments to ensure timely, accurate submissions and proper record management.
ESSENTIAL FUNCTIONS:
- Invoice Preparation & Submission
- Generate and submit accurate invoices for services rendered to partnering pharmacies.
- Review patient records, nurse visit notes, and authorization documents to ensure billing readiness.
- Ensure invoice completeness, including proper codes and attached documentation.
- Maintain confidentiality and security of financial and health records.
- Documentation Review & Support
- Review Alpha-1, Prolastin, Stelara, and Entyvio documentation for billing and clinical accuracy.
- Verifying all required documentation is present and matches the services provided.
- Ensure all documentation platforms (Nurse Plexus, SharePoint) are current, complete, and organized.
- Assist medical records and documentation teams during peak times or as directed by management.
- Filing & Records Management
- Upload and organize invoices, progress notes, and the supporting documents in Nurse Plexus and SharePoint.
- Maintain traceable digital records for internal use and external audits.
- Ensure compliance with HIPAA regulations in handling patient and billing data.
- Communication & Coordination
- Communicate with pharmacies to resolve invoice questions or discrepancies.
- Coordinate with nursing staff to confirm services, resolve missing documentation, and support billing readiness.
- Use Microsoft Teams and other platforms for internal communication, updates, and coordination.
- Attend weekly meetings as needed and participate in ongoing training and process updates.
QUALIFICATIONS:
- High school diploma or equivalent (required)
- 1+ year experience in billing, invoicing, or administrative work in a healthcare setting (preferred)
- Familiarity with specialty infusion medications and documentation (Alpha-1, Prolastin, etc.) is a plus
- Proficiency in Microsoft Office (Excel, Outlook, Word)
- Experience using SharePoint, Nurse Plexus, or similar EMR/EHR platforms (preferred)
- Excellent attention to detail and organizational skills
- Strong communication, coordination, and problem-solving abilities
